Powerful enterprise antispam

This VBSpam certified solution uses multiple anti-spam filters that combine SpamRazer technology, greylisting, IP reputation filtering, Bayesian filtering and other advanced technologies to deliver a spam detection rate of over 99% and a minimum of false positives; as well as ensuring the safe delivery of important emails.

Use of multiple antivirus engines

The presence of multiple antivirus engines drastically reduces the time required to obtain the latest definitions, providing a faster response to combat the latest threats. Since each engine has its proprietary heuristic and detection methods, you will achieve maximum protection for your email environment.

GFI MailEssentials includes the powerful Avira and BitDefender antivirus engines, offering an advanced technology stack that provides solid email protection from viruses and other malware, with minimal impact on system performance. However, for even greater and more comprehensive enterprise email protection, you can add the Kaspersky and/or Cyren antivirus engines. This allows you to benefit from the strengths of each antivirus engine. Antivirus vendors have different response times to each new virus and malware; this capability ensures that your system can always detect new threats as quickly as possible.

Applying email content policies

Applying granular user-level policies to email content allows you to control content that enters and leaves your network via email.
This feature is based on the actual file type, dictionary keyword checks, and standard expressions, protecting your business from accidental or malicious data leaks and helping you meet regulatory compliance.

An arsenal of spam filters

GFI MailEssentials features various anti-spam technologies designed to give you peace of mind and make life more difficult for spammers. The SPF module blocks scam emails. Greylisting blocks emails sent using non-RFC compliant techniques used by spammers. The directory collection filter blocks emails that have been sent using random and exhaustive email address generation techniques. Finally, DNS blacklists (DNSBLs) use a mine of information accumulated with distributed community data collection techniques, in order to avoid spam from botnets. Additionally, SpamRazer determines whether an email is spam using email reputation, mass email detection and spamming techniques, as well as comprehensive content analysis, while Bayesian filtering takes a mathematical approach based on known spam and valid (ham) emails.
GFI MailEssentials also contains a “Language Detection” plugin that detects and blocks spam expressed in certain languages. The combination of these technologies produces a spam detection rate of over 99%.
With the GFI MailEssentials Spamtag Outlook add-on, users can label individual emails as ‘spam’ or ‘not spam’ directly from Outlook. You can delete them, move them to a folder on your disk, forward them to an email address of your choice, quarantine them or, in the case of spam, send them to individual customizable folders (for example, a junk mail folder) in the end users’ Inbox folders
The AntiVirus engines included in the UnifiedProtection and EmailSecurity versions by default are BitDefender and Avira. During the purchase phase, it is possible to optionally add Kaspersky and/or Cyren engines. The Anti-Spam version only includes the WebFilter produced by SpamRazer.
It is possible to upgrade the mailbox at any time. The minimum number of users required is 10. It is also possible to add the AntiVirus engines produced by Kaspersky and / or Cyren to the EmailSecurity and UnifiedProtection versions.

Exploit protection from emails and trojans

AntiVirus Engines Protect your business from targeted vulnerability attacks, which can use email as a threat vector, and from dangerous email-based executable Trojans.
GFI’s email exploit detection engine is based on our research into email exploits, protecting you from attacks that specifically target vulnerabilities that can use email as a threat vector. This technology is specifically created to protect against email-based attacks, unlike various email protection technologies available on the market that were originally created to protect against file-based or other endpoint-based attacks.
The GFI MailEssentials Trojan and Executable Scanner detects unknown and dangerous executables by analyzing their potential operations. A trojan is software that offers some potentially really useful functionality for a user but, at the same time, covertly performs other dangerous actions (for example, providing the attacker with unlimited access to data stored on the victim’s computer). The scanner uses its internal intelligence to evaluate the risk level of an executable, analyzing its potential operations and comparing them with those contained in a database of dangerous operations. The scanner then quarantines any programs that perform suspicious or malicious tasks. such as making network connections or attempting to access the address book.

Centralized management console

Larger organizations have multiple email gateways and servers that are possibly difficult and expensive to manage without the centralized management console of GFI MailEssentials. GFI MailEssentials can be installed on multiple servers. Important settings from your GFI MailEssentials servers are synchronized across the network, making it easier for you to manage the day-to-day management of maintaining the security of your email. Synchronized data includes attachment, keyword, and advanced filtering rules, as well as whitelists and blacklists. Emails quarantined from various GFI MailEssentials scanning servers are stored on a central server of your choice, giving you a central quarantine for your entire organization.
GFI MailEssentials records all mail flow activity in a central reporting database, so you can consolidate all your email flow reports and easily spot any email flow trends or issues. These unified settings are highly customizable; giving you total flexibility in terms of deploying GFI MailEssentials on your network.
The quarantine can be centralized or independent and, in the same way, you can choose which settings to synchronize, thus providing you with a completely flexible way of controlling your email security.

Protect your users from phishing and spyware

GFI MailEssentials’ anti-phishing module detects and blocks threats presented by phishing emails by comparing the spam content against a constantly updated database of phishing URLs, ensuring all the latest phishing messages are captured. As an added layer of protection, it detects the presence of phishing keywords in every message sent to your company. GFI MailEssentials also protects you from spyware with its unique portfolio of email protection technologies, including multiple antivirus engines and other technologies specifically designed to protect against email-based attacks, such as the Exploit Engine, Trojan Scanner and executables & HTML file disinfection.
GFI MailEssentials can also detect spyware delivered via email, using the optional Kaspersky antivirus engine, which includes a dedicated spyware & adware definitions file with an extensive database of known spyware, Trojans and adware.

Easy handling of spam and malware

With the GFI MailEssentials Spamtag Outlook add-on, users can label individual emails as ‘spam’ or ‘not spam’ directly from Outlook. You can delete them, move them to a folder on a disk, forward them to an email address, optionally quarantine them or, in the case of spam, send them to individual customizable folders (for example, a junk folder) in the end users’ Inbox folders.
GFI MailEssentials gives administrators the ability to place emails into a malware quarantine, which they can control access to. Flexible quarantine management options available include the following: Web-based access, which allows you to approve and reject emails from anywhere you have access to a browser (e.g., internet connection, mobile network, etc.), email-based quarantine login forms, and RSS feeds with links to review, approve, or delete quarantined emails. The latter option simplifies the task of monitoring the email quarantine archive, eliminating the need to connect to it to manually check for new quarantined emails.
You can also configure GFI MailEssentials to quarantine spam emails and regularly send a report (or summary) to end users, listing blocked spam, as well as allow them to manually “release” the emails they want to receive from the quarantine. Furthermore, end users can access their spam quarantine at any time, via a web interface. Additionally, end users can manage their own custom blacklists and whitelists. You can also use the automatic whitelist management function to add all outgoing mail recipients to your whitelist: the number of false positives will reduce significantly, without requiring additional administration.

Applying email content policies

You can use the keyword checking and attachment checking functionality of GFI MailEssentials to scan emails for keywords and attachments respectively. Advanced user-based filtering rules allow you to perform flexible, granular filtering of any part of the email message, including header, subject, body, and attachment name/content, using different types of pattern matching methods, including regular expressions.
For example, you can use the keyword checker feature to scan emails for inappropriate, vulgar, racial, sexual, or otherwise offensive keywords. This type of search can also serve as an additional spam filter by simply configuring it to block widespread spam keywords. The attachment checking feature ensures that attachments sent and received are in a file format that aligns with company policies and uses real-time file type detection technology to ensure that renaming file extensions is not used to circumvent checks. You can, for example, choose to block all incoming emails that contain potentially dangerous types of attachments, or to block files that waste bandwidth and productivity, such as MP3 (audio) and MPEG (video).
Advanced user-based filtering rules allow you to block emails based on patterns you define, such as regular expressions. This feature is far more powerful than simple keyword control. For example, you can use predefined content filtering rules to block emails containing credit card numbers or Social Security numbers/tax numbers. In all cases, you can define rules at the user or group level and configure exclusions. You can trigger actions, including forwarding and quarantine for administrator review, or removing blocked content before forwarding to the desired recipient.

Web-based console with integrated reporting

You can manage all anti-spam and email security functionality, including spam and/or malware quarantine and report generation, from a single web-based console. The console includes a tool panel that allows you to visually monitor the software status and email flow on the server in real time.
The information shown in the panel includes the following:
status of GFI MailEssentials core services, email flow statistics, blocked spam and malware, POP2Exchange logging and email processing results, filterable by sender, recipient, subject, etc.
The web-based console includes built-in reporting capabilities, allowing you to generate reports on emails sent and received by your organization.

Email management tools

GFI MailEssentials’ POP2Exchange feature offers businesses using external POP3 email accounts a convenient way to receive emails without having to have a dedicated email server.
GFI MailEssentials allows you to add legal disclaimer texts in the form of a header or multiple pages of an email, which are compatible with text and HTML formats. You can include fields and variables to customize the legal release. You can even create multiple releases and associate them with a user, group, or domain. The GFI MailEssentials List Server offers an easy way to implement a subscription-based email discussion list, with automated links to subscribe or unsubscribe. Likewise, it offers an equally easy option to distribute newsletters via email. It integrates with Microsoft Exchange and can use Microsoft Access or Microsoft SQL Server as the subscriber list terminal database.
The email monitoring feature allows you to maintain a central archive of a particular user’s or office’s email communications by configuring their emails to be copied to an email address. These emails can then be stored in an Exchange or Outlook archive, allowing them to be searched.

New License


New licenses start from a minimum of 25 mailboxes up to a maximum of 2999 mailboxes. It is possible to request an ad hoc quotation in case of greater need.
The AntiVirus engines included in the UnifiedProtection and EmailSecurity versions by default are BitDefender and Avira. During the purchase phase, it is possible to optionally add other engines: Kaspersky and/or Cyren.
The Anti-Spam version only includes the WebFilter produced by SpamRazer.
Software Maintenance is valid starting from the order management date and its duration must be signed for at least 1 year. You can also choose 2 or 3 years.

Renewals


As with new licenses, the renewal can also be signed for 1, 2 or 3 years.
When Software Maintenance expires, after a 40-day grace period the product ceases to function.
If the license renewal is managed within the expiration or within the 40 day grace period, then the new expiration date will not change but will simply be brought forward by 1 year or however many were requested at the time of purchase.

If the license renewal is managed beyond the 40 day grace period, it is then necessary to purchase the Version Upgrade, which is also available for 1, 2 or 3 years. The new subscription will be valid from the order date.

Upgrade


It is possible at any time to upgrade the number of mailboxes. The minimum number of users required is 10. It is also possible to add the AntiVirus engines produced by Kaspersky and / or Cyren to the EmailSecurity and UnifiedProtection versions.
The upgrade is always aligned to the license expiration date already in use. In the case of subscription licenses, more years, additional users or antivirus engines will also need to be adapted to it.

Downgrade


A license cannot be downgraded.
